Every wedding in one view
The portfolio shows each wedding you run, with its date, its headcount and what is urgent in it. You switch between them without signing out and without having to remember which account holds which. The closer the season, the more that counts: in June the hard part is not planning a wedding, it is not forgetting the one that is not next.
They invite you; you do not create it for them
You cannot create a wedding on a couple’s behalf — they create it and invite you in as a member, and only then do you add it to your portfolio. It is one extra step and it is deliberate: the account is theirs, the data is theirs, and when the work ends you leave rather than they do. It also means you cannot touch a wedding nobody invited you to, by accident or otherwise.
Your own supplier book
Photographers, bands, caterers, florists — your contacts, your notes, your prices, in one place and across every wedding. When a new couple needs a band you are not digging through two years of email. The book belongs to your account rather than to a wedding, so it stays with you afterwards.
Templates you carry with you
A checklist and a run sheet that work for you can be saved as a template and used on the next wedding. Every wedding has its own quirks, but the skeleton is usually the same — and rewriting it each time is work nobody pays you for.
Every change shows who made it
The couple sees a record of what changed and who changed it, you included. It sounds like a detail for them, but it mostly protects you: when someone asks three months later who moved the photographer’s slot or removed a budget line, the answer is on the record and does not depend on whose memory is better. In work involving other people’s money and one irreversible day, that is the safer arrangement.
When the work ends
You release the client from your portfolio and their wedding carries on without you — the couple loses nothing and nothing locks. What is yours stays yours: the supplier book and the templates belong to your account rather than to any wedding, so you leave with them. The same holds when the couple ends it: you lose access to their wedding, not your own material.
Your name, not ours
The portfolio carries your branding, so what the couple sees does not look like somebody else’s tool you handed them. For you it is part of the service you sell.
What happens if the subscription lapses
This is the question to ask of any tool you run other people’s weddings through — because the answer decides what happens to your clients when your card expires.
A lapsed subscription does not freeze the wedding of a couple who hold their own licence. It is checked per wedding rather than across the portfolio: one of your clients bought the full version and another did not, and there is no reason to punish the first for the second.
A failed payment is also not the same as a cancelled subscription. Stripe retries the card for several days and nothing is frozen meanwhile — freezing ten weddings over an overnight bank decline would be worse than waiting. There are seven days of room for that.
And when you release a client from the portfolio, their wedding always thaws. You stopped paying for it; the couple agreed to nothing.
Billing and payment
The subscription runs monthly and you can cancel at any time — there is no cancellation fee and no tie to a season. Your card statement will read WEDDINGLAD KOORD rather than some generic abbreviation you would not recognise a month later. Prices exclude VAT; we are not VAT registered, so that is also what you pay.
What it is not
It is not a directory that finds you clients, and we do not sell your contacts. It is not a way to manage a couple’s wedding without their knowledge either — everything you do is visible in their wedding with your name against it. It is a tool for your work, not a lead channel.
